Here are the key steps to set up your account and start optimizing your routes with confidence.
👉 We recommend following these steps in order.
1. Set up your agents’ working hours
Before scheduling any jobs, make sure your agents’ working hours are properly configured.
Why is this important?
Because route optimization is based on their availability (working days, working hours, start and end locations).
Steps to follow
- Go to Resources.
- Click on Agents.
- Select … then Edit for the relevant agent.
- Open the section Working hours, locations and skills.
- Enter:
- Working days
- Start and end times
- Break times
- Start address
- End address

Once this step is completed, you can move on to scheduling.
2. Add your first jobs
Jobs correspond to deliveries or appointments to be completed.
☝️ Choose your scheduling method:
Depending on your organization, several options are available.
➡️ Import a jobs file
Do you have a large number of jobs to schedule?
Import an Excel or CSV file to save time.
- Go to Plan.
- Click on Import work orders.

➡️ Schedule during a customer call
Do your customers book appointments by phone?
AntsRoute helps you suggest the most optimized time slots.
- Go to Plan.

Allow your customers to book a time slot 24/7 through a dedicated booking website.

➡️ Schedule before a due date
Do you need to complete jobs before a deadline?
Adding or importing jobs into the basket allows you to automatically distribute them over a selected period.
- Go to Plan.
- Click on Work orders' basket.

3. Build routes
Once your jobs have been added, you can launch the optimization.
Steps to follow
- Go to Organize.
- Click on Map or Routes.
- Select the relevant date.
- Click on Build routes.
AntsRoute automatically calculates routes based on:
- Agents’ working hours
- Customer availability
- Defined business constraints
- Travel times
- Distances
- And more
You get optimized routes in just a few seconds.
4. Set up customer notifications
Notifications keep your customers informed at every stage: confirmation, reminder, agent arrival, service report, etc.
Before sending them, you need to create notification templates.
To configure notifications:
- Go to Settings.
- Click on Notifications.
- Open Notification templates.
- Click on Add.
You can create different types of notifications:
- Appointment scheduling
- Appointment confirmation or rescheduling
- Route start notification (with live tracking link)
- On-the-way notification
- Message sent by the agent
- Customer satisfaction survey
- Service report sending
Notifications can be sent by SMS or email, depending on your configuration.

5. Install the mobile application for your agents
The mobile application (Android + iOS) allows your agents to access their schedule in real time.
They can:
- View their daily route
- Access job details
- Launch navigation (Google Maps or Waze)
- Add comments, photos, and signatures
- Receive updates in case of unexpected changes
This ensures smooth communication between the field and the office.
